About this application

Purpose of the application

AI Meeting Agent is an AI-powered meeting assistant developed and operated by Xsparks.ai. The purpose of AI Meeting Agent is to join your online meetings, capture meeting conversations, and help you generate transcripts, summaries, and actionable insights so you can review what was discussed without taking notes by hand.

AI Meeting Agent works with Google Meet and Microsoft Teams. When you choose to connect a Google Account, AI Meeting Agent uses Google services only to provide this meeting-assistant functionality:

  • Read your Google Calendar to detect upcoming and scheduled meetings.
  • Identify the associated Google Meet call so AI Meeting Agent can join the correct meeting.
  • Join that meeting to capture the conversation, transcribe it, and generate a summary and action items for you.

AI Meeting Agent does not use Google user data for advertising or any purpose other than providing these user-facing meeting features. You can disconnect Google access at any time. Full details are in the AI Meeting Agent Privacy Policy and Terms of Service.

How AI Meeting Agent uses, stores, and manages Google user data

Connecting a Google Account is optional. It happens only when you choose to sync Google Calendar or attach files from Google Drive. This section is the in-product justification of every OAuth scope we request — what it is, why we need it, where it is used in the product, and how that data is protected.

Limited Use

AI Meeting Agent's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Google Workspace APIs are not used to develop, improve, or train non-personalized AI or ML models. Google user data is used only to provide the user-facing meeting features described below.

Meeting join flow and the meeting report (transcript, summary, and action items).
What we do not do
We never create or modify Meet spaces, and we do not access meetings unrelated to ones you asked the Agent to join.

Google Drive files you select

Why we request it
So you can pick specific Drive documents to attach as background context for a meeting or project. We only access files you choose in Google’s file picker — not your full Drive.

Metadata and contents of files you explicitly select in the Picker (typically PDFs you attach as meeting context).
Where it is used
Documents page (Google Drive tab) and the “Select from Google Drive” picker when creating or scheduling a meeting.
What we do not do
We do not browse or list your entire Drive. We do not read files you have not chosen in the Picker.

How we use it

Only for the meeting features you turn on

Google user data is used solely to provide and improve these user-facing features of AI Meeting Agent. It is not used for advertising, credit decisions, resale, or training non-personalized models.

    You connect Google

    Connecting is optional. When you choose Connect Google Calendar, Google’s consent screen lists every scope below. Nothing is accessed until you approve.

    We find the meeting

    Calendar events are read so the Agent can list upcoming Google Meet calls and join at the scheduled time, using the Meet link on that event.

  3. 03

    We join and capture notes

    The Agent joins the Meet you authorized. If the host enabled Meet transcription, we use that transcript; otherwise we transcribe the in-meeting audio ourselves.

    You get the report

    Transcript, summary, and action items appear in your AI Meeting Agent account. Drive files you selected are used only as context for those notes — not for any other purpose.

Where it is used

Product surfaces that call Google APIs

Google APIs are called only from the screens below, after you have connected a Google Account. There is no background harvesting of Drive, Calendar, or Meet data outside these workflows.

How we manage it

Storage, protection, sharing, and deletion

Google user data is processed by Xsparks.ai to operate AI Meeting Agent. We retain it only as long as needed for the purposes in this disclosure and our Privacy Policy.

OAuth tokens

Access and refresh tokens are stored on our servers, encrypted at rest with AES-256-GCM, and used only to call Google APIs on your behalf while the connection remains active.

In transit

Data between your browser, our servers, and Google is transmitted over HTTPS / TLS. We do not send Google user data over unencrypted channels.

What we store

Calendar metadata needed to join (time and Meet URL). Meet transcripts used for a meeting you asked us to capture. Drive file contents only after you select a file, copied into our storage for that meeting or project.

Access control

Meeting records and tokens sit on access-controlled cloud infrastructure (including Google Cloud). Production access is limited to authorized personnel who operate and support the Agent.

Sharing

We do not sell Google user data. We share it only with subprocessors required to run the product — cloud hosting and, when you use summarization, LLM providers (such as Google Gemini and/or OpenAI) that generate the summary you requested.

Retention & deletion

Tokens are deleted when you disconnect Google or revoke access in your Google Account. Meeting records stay until you delete them in the product or email [email protected]. We aim to complete deletion requests within 5 business days.

Practices we prohibit

  • Sell Google user data, or transfer it to data brokers or information resellers.
  • Use Google user data for advertising, retargeting, or marketing.
  • Use Google Workspace APIs to develop, improve, or train generalized, foundational, frontier, or other non-personalized AI/ML models.
  • Request Gmail, Google Contacts, Google Docs, or any Google data beyond the four scopes listed here.
  • Create, modify, or delete Calendar events or Meet spaces.
  • Browse or list your entire Google Drive — we only access files you select in Google Picker (drive.file).
  • Read Drive file contents you have not explicitly selected in the Picker.

Your controls

Disconnect, revoke, and delete at any time

In AI Meeting Agent

Disconnect Google from the Meetings or Documents page. That immediately stops further Google API access and deletes stored OAuth tokens. Existing meeting reports are not auto-deleted; you can remove those in the product.

In your Google Account

Revoke AI Meeting Agent at any time from Google Account permissions. That independently cuts off API access.

Deletion requests

Email [email protected] to request deletion of Google connection data and/or meeting records. We aim to complete requests within 5 business days.
